- Check whether virtual presentation is offered and at what price.
- Factor in travel, accommodation and visa costs for in-person attendance.
- Look for student rates if you are a graduate researcher.

Travel and visas
- For Canada, check whether the conference is registered with IRCC’s Special Events Liaison Unit (SELU).
- Confirm that visa invitation letters are issued after registration.
- Allow several months for visa or eTA processing.
- Check that a virtual option exists as a fallback.

- Work back from the camera-ready date, not the conference date.
- Leave time between notification and registration deadlines.
- Avoid clashes with your teaching or funding calendar.
- Summer conferences suit the academic year in most regions.
